Custom sending domain
Send respondent emails from your own domain (info@yourcompany.com) by verifying it with three DNS records.
By default, emails your forms send to respondents — such as abandoned-response recovery emails — come from our sending address, with your workspace name shown as the sender. With a custom sending domain, those emails come from your own address instead, e.g. info@yourcompany.com.
How it works
Mail providers only deliver email reliably when the sending domain proves it authorized the sender (SPF/DKIM). Verifying your domain means adding three CNAME records at your DNS host — the place you manage your domain, like Cloudflare, GoDaddy or Namecheap. You never need an account with our email provider; everything is managed from your workspace settings.
Set it up
- Open Team → Sending domain (workspace owner only).
- Enter your domain — just the part after the @, e.g.
yourcompany.com— and click Add domain. - You’ll see 3 CNAME records (host + value). Add each one at your DNS host. The Copy button gives you the record ready to paste.
- Click Check verification. DNS changes usually apply within minutes but can take up to an hour — if it doesn’t pass right away, wait and check again.
- Once the domain shows ✓ Verified, enter an address on it (e.g.
info@yourcompany.com) as the From address in your form’s abandoned-response recovery settings. The Check verification button there confirms the exact address is good to go.
Adding the CNAME records at common DNS hosts
- Cloudflare — DNS → Records → Add record → type CNAME. Set Proxy status to DNS only (gray cloud) — proxied CNAMEs fail verification.
- GoDaddy — Domain settings → DNS → Add → CNAME. If GoDaddy appends your domain automatically, enter only the part of the host before your domain name.
- Namecheap — Advanced DNS → Add new record → CNAME record. Same note about the host: enter it without your domain if the field appends it.
Verification covers the whole domain and its subdomains — once yourcompany.com is verified, hello@yourcompany.com, info@yourcompany.com and team@mail.yourcompany.com all work as From addresses.
Already verified your domain?
If the domain was verified previously (for example, set up directly with the email provider), adding it here simply connects the existing verification — you’ll see ✓ Verified immediately, with no DNS changes to make. For a connected domain the button reads Disconnect instead of Remove: disconnecting unlinks it from the workspace but leaves the verification itself intact.
If you can’t change DNS
No DNS access — or sending from a personal address like Gmail? You can’t verify domains you don’t control. Instead, leave the From address blank and set a Reply-to in the recovery settings: emails still send from our address with your name on them, and when a respondent replies, it lands in your inbox. No verification needed.
Troubleshooting
- “Not verified yet” after adding records — DNS can take up to an hour to propagate. Double-check each host/value for typos and (on Cloudflare) that the records are DNS only, then check again.
- Recovery emails show “failed” in the Partial tab — the From address isn’t on a verified domain. Verify the domain here, or clear the From address.
- Removed the domain? Any form still using an address on it as its From will start failing — clear those From fields or re-verify the domain.
Managing the sending domain is owner-only. Every other member of the workspace can see its status, and editors can use verified addresses on their forms.
